Changes and Cancellations

It is disappointing when a client needs to cancel their vacation, especially after you have invested lot of time an effort on their behalf. It is probably one of the most frustrating parts of being a travel agent. But it is very important to not let that frustration or disappointment show to a client. They are much more likely to come back to you when they are ready if you showed you were understanding and non-judgemental.

Agent Booking Form

If a client cancels, you need to enter it into the agency so the booking form so the records can be updated. If your client makes changes to the package, either up or down, you do not need to update the information in the Agent Booking Form. 

Disney sales and promtions

One of the key selling features of using a Disney Travel Planner is that we will work to get our clients the best possible prices, even after they have booked. As agents, it is very important to stay on top of the latest deals and promotions offered, especially by Disney. This way the client does not have to. And it is our job to go after those deals as soon as they are announced.
Disney will often release new promotions, and almost always without prior notice. When those deals are announced, practically every Disney travel planner is trying to modify their client’s reservations to get those deals. You will find very long hold times and may find the Disney Travel Agents website has crashed.
The number of rooms available for deals is always limited and sell out quickly, especially the moderate and value resorts. That is why it is important to jump on those deals as soon as possible.
And in case you were wondering, yes you are working harder for a better price for your client, but that does lower your commission. The intent is that you will earn a repeat customer who will promote you to their friends and family for working so hard and saving them money.

Supplier Policies

It is your responsibility to be aware of the cancellation policies, and to be sure your client is informed as well. Below are some summarized examples, however they are subject to change without notice. Be sure you have the most current information.

Disney World and Disneyland:

Full refund BEFORE final payment is made, which is 30 days in advance. Travel insurance MAY be refundable less than 14 days from purchase. Must be paid in full at time of purchase. Disney travel insurance can only be added before final payment is made.

Advance Dining Reservations:

Restaurants require a credit card to hold them. They require 24 hours cancellation notice. Signature restaurants require 48 hours notice. If your client cancels their resort reservation, it does not automatically cancel their dining reservation. Those must be cancelled separately.

Universal Studios:

Full refund BEFORE final payment is made, which is 45 days in advance. They will automatically charge the client’s card 45 days in advance. Be sure your client is aware. Travel insurance is NOT refundable once purchased. Universal travel insurance can only be added before final payment is made.

Disney Cruise:

Final payment due and refund policy varies by date of sailing. Travel insurance can be added on at any time prior to final payment, but it is not paid for until final payment time. If a client cancels before making final payment, they will get a full refund of all deposit money paid.
